Start with two passenger lists. Guests usually need a straightforward hotel-to-venue transfer; the wedding party may need preparation locations, photo stops and an earlier arrival. If a bus must do both jobs, compare the full loop time with the ceremony deadline before assuming one vehicle can cover everyone.
Build the schedule around the venue.
Share each exact entrance, the planner contact and the time people must be inside—not just the ceremony start. Ask the venue where a bus may load and wait. Include walking time, boarding in formalwear and a buffer between consecutive shuttle runs. Make a separate plan for guests who want to leave the reception early.
Choose the bus around the people.
Count the photographer and anyone else riding with the wedding party. Discuss steps, mobility needs, dresses, luggage and space for personal items before choosing a vehicle from the fleet. Lighting, decorations, a restroom and other amenities vary by vehicle; request confirmation for the bus in your quote.

Your written quote and booking agreement specify the deposit, payment deadlines, cancellation/refund and weather terms. Review them before paying.
