Share the exact venue, event date and ticketed start time. Venue loading areas and road closures may change for individual events. Confirm the permitted bus drop-off and return meeting point using the organizer’s current instructions; an ordinary street address may not identify the correct entrance.

Build a return window everyone understands.

A show, game or encore can finish later than expected. Ask how the booking handles a delayed departure and agree how the organizer will reach the group. Keep time for walking from the gates to the bus instead of scheduling pickup for the exact advertised finish.

Separate transport from admission and tailgating.

Event tickets, parking passes and tailgate access are separate arrangements unless the proposal expressly includes them. Tell us about coolers or equipment and confirm storage and venue restrictions. Carry the venue’s bag policy and your booking contact details with you.
