Involve the organizer and advisor early.
Name the person responsible for the booking and share any university, venue or national-organization requirements. Ask which vendor documents are needed and their deadlines. Do not assume a transport booking automatically meets a chapter’s separate risk-management rules.
Build a passenger and departure plan.
Count members, guests and accompanying organizers. If the group needs multiple buses, assign passengers and a contact to each vehicle. Arrange a legal campus pickup point and give everyone the same check-in time so arrivals do not delay the venue transfer.
Review conduct and billing together.
Share ages where relevant and confirm the onboard alcohol and conduct policy. Document the return departure, changes to the route and how additional time is handled. Confirm the payer, payment deadlines and any requested organizational invoicing in the agreement.

Browse the fleet for vehicle options. Confirm the assigned bus, passenger capacity, requested amenities, total hours and any minimum charge in your quote. Your written quote and booking agreement specify the deposit, payment deadlines, cancellation/refund and weather terms. Review them before paying.
Before bringing drinks
Confirm the alcohol policy for your route and passenger ages before bringing drinks. Alcohol is not part of the transport quote. Plan alcohol-free travel for prom and other youth events.
