Give the adults one shared plan.
Choose the parent responsible for the booking and a contact available throughout the outing. Write down the pickup, each activity and the return location. If guests will leave with different adults, organize the handoff before departure rather than changing the route through group messages during the trip.
Reserve seats for supervision.
Include chaperones in the passenger total from the beginning. Tell the team about the ages in the group and ask for the youth-event conduct and supervision terms. The driver’s driving duties are separate from supervising the celebration; discuss who will oversee the passengers.
Check activities and decorations.
A dinner, bowling session or photo stop should have a confirmed booking, age policy and accessible loading location. Ask which decorations, snacks and drinks are permitted on the assigned vehicle. Avoid assuming that confetti, glassware or a supplied decoration package is included.

Browse the fleet for vehicle options. Confirm the assigned bus, passenger capacity, requested amenities, total hours and any minimum charge in your quote. Your written quote and booking agreement specify the deposit, payment deadlines, cancellation/refund and weather terms. Review them before paying.
Before bringing drinks
Confirm the alcohol policy for your route and passenger ages before bringing drinks. Alcohol is not part of the transport quote. Plan alcohol-free travel for prom and other youth events.
