List each passenger movement

Write the pickup location, destination and passenger count for each departure. A single office-to-dinner transfer differs from a hotel loop or a recurring conference service. If groups depart at the same time from different buildings, ask whether multiple vehicles are required.

Use the actual loading entrances

An office tower’s postal address may not identify its permitted bus loading area. Confirm access with building management or security and share their contact details. For the DC destination, ask the venue about current loading restrictions and the walking distance to the event entrance.

Work backward from the meeting

Use the required arrival time, then allow for boarding, traffic, unloading and walking inside. Travel varies by day, route, road closures and the pickup point. Ask whether driving, waiting, parking, tolls and all scheduled movements are included. Confirm the vehicle or substitution terms and how receipt of the booking will be documented.
